Policy Options and Exclusions for Hotels

After you configure preferences on the Property Criteria and Chain Criteria pages, use the Policy Options and Exclusions page to configure policy around those preferred and non-preferred properties and chains. This determines for the traveler which travel is in-policy and which is out-of-policy.

When you select the Policy Options and Exclusions navigation link after selecting an existing air policy on the Hotel Policies page, the Policy Options and Exclusions screen appears.

There are four sections to this screen. You can choose one and only one option in each section; specific options are detailed below:

Policy Options for Preferred Properties

The following table lists the radio button functions for preferred properties. You can select only one.

Select this radio button: To do this:

Mark all preferred properties as in policy

Ignore rates and mark all preferred properties as in-policy.

Mark as out of policy if rate returned is greater than the negotiated rate for that property

Use lowest negotiated rate at hotel as a reference and mark all rates higher than this as out-of-policy.

Mark as out of policy if rate returned is greater than the area rate cap

Consider rate cap setting for location and apply it across all hotel results. Rate caps are set from the Rate Caps screen.

Policy Options for Preferred Chains

The following table lists the radio button functions for preferred chains. You can select only one.

Select this radio button: To do this:

Mark all preferred chains as in policy

Ignore rates and mark all preferred chains as in policy.

Mark as out of policy if rate returned is greater than the area rate cap

Take into account rate cap setting for location and apply it across all hotel results. Rate caps are set from the Rate Caps screen.

Mark as out of policy if rate returned is greater than the most expensive negotiated rate in area

Use highest negotiated rate across hotel chains for that location as a reference and mark all rates higher than this as out-of-policy.

Mark as out of policy if rate returned is greater than the least expensive negotiated rate in area

Use lowest negotiated rate across hotel chains for that location as a reference or rate cap and mark all rates higher than this as out-of-policy.

Policy Options for Non-Preferred Properties and Chains

The following table lists the radio button functions for non-preferred properties and chains. You can select only one.

Select this radio button: To do this:

Mark all non-preferred properties and chains as out of policy

Ignore rates and mark all non-preferred hotel properties and chains as out-of-policy.

Mark all non-preferred properties and chains as in policy

Ignore any hotel rates and mark all non-preferred hotel properties and chains as in-policy.

Mark as out of policy if rate returned is greater than the area rate cap

Mark as out of policy if rate returned is greater than the most expensive negotiated rate in area

Additional checkbox for this setting:

  • Mark as in policy if no preferred properties or chains are found in area

If using Mark all preferred chains as in policy setting, selecting this checkbox enables non-preferred hotels to be in-policy if no preferred hotels are present.

Mark as out of policy if rate returned is greater than the least expensive negotiated rate in area

Use lowest negotiated rate across hotel results for location as a reference and mark all rates higher than this as out of policy.

  • Mark as in policy if no preferred properties or chains are found in area

If using Mark all preferred chains as in policy setting, selecting this checkbox enables non-preferred hotels to be in-policy if no preferred hotels are present.

Exclusion Options

The following table lists the option for excluding rates from search results.

Select this radio button: To do this:

Display only in policy rates

Strictly apply policy. Traveler cannot see out of policy rates and therefore cannot select them. Policy does not use this; CBT must read and enforce it.
